Session Times allows you to indicate when your event will be taking place, when it will end, and control when it is open for bookings. An event can have either one or multiple Sessions Times. These can be on the same day at different times, or over multiple days.
Whilst you will be prompted to set the event's Session Time/s during Create an Event, you will also be able to add additional Session Times or edit the existing Session Times at any point in time.
This article covers:
Adding a single Session Time
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Session times, under Basic Information
- Click Add Sessions
- Click Add a single session time
- Using the drop-downs, fill in the following fields:
- Session Start Date and Time: The date and time your event will commence
- Session End Date and Time: The date and time your event will conclude
- Booking Start Date and Time: When your event will go live for ticket sales
- Booking End Time: When your event will close for ticket sales
- Click Save
Adding Multiple Session Times
You are now able to add multiple session times all from the one screen, removing the need to add in each session individually, saving you time! Perfect for events with long performance seasons, appointment bookings, daily admission tickets, cast and crew auditions, parent-teacher interviews etc.
You will have the option to add recurring sessions:
Daily Reoccurring Session Times
Opting to add Daily session times will allow you to repeat out a Session Time for every day within a given date period. For example, adding the same Session Time every day at 5pm over a 2 month period.
To add in Daily Session Times:
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Session times, under Basic Information
- Click Add Sessions
- Click Add multiple session times
- Under Occurrence, select Daily
- Using the drop-downs, fill in the following fields:
- First Session Date: The first date you would like this session to be added
- Session Start Time: The time your session will commence
- Session End Time: The time your session will conclude
- Last Session Date: The last date you would like this session to be added
- Booking Start Date and Time: When your event will go live for ticket sales
- Booking End Time: When your event will close for ticket sales. You will have the options to choose from minutes, hours and days before or after the Session Start Date and time
- Click Save
All Session Times for that selected date period will be added.
Weekly Reoccurring Session Times
Opting to add Weekly session times will allow you to repeat out a Session Time for some or all days of the week within given date period. For example, adding the same Session Time every Saturday and Sunday over a 1 month period.
To add in Weekly Session Times :
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Session times, under Basic Information
- Click Add Sessions
- Click Add multiple session times
- Under Occurrence, select Weekly
- Next to On, select the days of the week you would like the session to take place
- Using the drop-downs, fill in the following fields:
- First Session Date: The first date you would like this session to be added
- Session Start Time: The time your session will commence
- Session End Time: The time your session will conclude
- Last Session Date: The last date you would like this session to be added
- Booking Start Date and Time: When your event will go live for ticket sales
- Booking End Time: When your event will close for ticket sales. You will have the options to choose from minutes, hours and days before or after the Session Start Date and time
- Click Save
All Session Times for that selected date period will be added.
Monthly Reoccurring Session Times
Opting to add Monthly session times will allow you to repeat out a Session Time for the same date of each month for a given date range, or the same week in each month for a given date range. For example, adding the same Session Time for the 1st of each month, or should you wish to hold the same Session Time for the first Sunday of each month.
To add in Monthly Session Times:
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Session times, under Basic Information
- Click Add Sessions
- Click Add multiple session times
- Under Occurrence, select Monthly
- Using the drop-downs, fill in the following fields:
- First Session Date: The first date you would like this session to be added
- Recurring: whether it should repeat on the same date each month, or in the same week of each month
- Session Start Time: The time your session will commence at location
- Session End Time: The time your session will conclude at location
- Last Session Month: The last month you would like this session to be added
- Booking Start Date and Time: When your event will go live for ticket sales
- Booking End Time: When your event will close for ticket sales. You will have the options to choose from minutes, hours and days before or after the Session Start Date and time
- Click Save
All Session Times for that selected date period will be added.
Timeslots Session Times
Opting to add multiple session times as Timeslots offers a fast method for adding in session times when there are a high number of sessions on a given day and are evenly spaced out throughout the day. For example, adding 20 minutes sessions starting from 9am through to 5pm with a 10 minute break in between each session.
To add in multiple Session Times as Timeslots:
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Session times, under Basic Information
- Click Add Sessions
- Click Add multiple session times
- Under Occurrence, select Timeslots:
- Using the drop-downs, fill in the following fields:
- First Session Date: The first date you would like sessions to be added
- Last Session Date: The last date you would like sessions to be added
- Start Time: The time your first session will commence on the dates specified
- Session End Time: The time your last session will conclude
- Timeslots of: The duration of each session. You will have the option to choose from minutes or hours
- Breaks Between Timeslots of: the duration between when a session finished and the next session starts. You will have the option to choose from minutes or hours
- Booking Start Date and Time: When your event will go live for ticket sales
- Booking End Time: When your event will close for ticket sales. You will have the options to choose from minutes, hours and days before or after the Session Start Date and time
- Click Save
All Session Times for that selected date period will be added.
Session Times Additional Settings
In Additional Settings you will be able to:
- Add a description to a Session Time
- Relabel a Session Time
- Update the status of a Session Time
- Add a header to a Session Time
To access Session Times Additional Settings:
- From the left menu, click Dashboard
- Under Manage events overview, click your event name
- From the left menu, click Sessions times, under Basic information
- Click Edit next to the session time you wish to access
- Select the Additional Setting tab
Session Time Description
The description field is an optional setting that can be utilised to provide further information on the session to aid the customer in their selection when multiple session times are present on an event. For example, should you wish to highlight which sessions are a matinee vs and evening performance.
It will only come into play should you have more than one Session time. Should you only have the one session time and you wish to provide a description, it is recommended you include this text within the Event Description.
Relabel a Session Time
Should your event not require a specific date and time, eg. A membership, you will have the option to replace the date and time with text of your choice. This label will show during the booking process and pull through to the customer's confirmation email and tickets, and visible on your reports.
Session Time Status
The status provides options for manually overriding the Booking Start and End Date and Time.
Status | Description |
Active | The session will be available for booking within the Booking Start and End Dates and Time |
Cancelled | Will indicate to the customer that the session has been cancelled, and prevent further bookings from taking place |
Closed | Will not be available for booking by the general public. Can still be selected by the Event Organiser when logged into their account. |
Full | The session will appear as Sold Out for the customer and prevent further bookings from taking place. Can still be selected by the Event Organiser when logged into their account |
Hidden | Will not be visible to either ticket buyers or the Event Organiser during booking. Can be accessed for booking using the Session URLs should you wish to provide exclusive access to a select group only |
The Sessions status will be set to Active by default. This will ensure that the Booking Date and Times that are set when creating the session will come into effect.
Session Time headers
Headers provide a fee text design area that appears directly above the Session Time that you choose to utilise. They can contain text, hyperlinks, images and tables. For more information on how headers can be utilised, please see: Using Headers
