Producer User

Producer user access lets you give a user restricted access to specific events, choose which reports they can view, and enable access to the Scanning App and/or Box Office App.

Perfect for staff or third parties who need sales updates or door access but shouldn’t have permission to edit the event or bookings.


Producer user permissions

Producer users will allow users to log in with the following permissions:

Producer users will not provide the user with the permissions to edit events, or manage customers bookings. Should these permissions be needed, checkout or other user roles: Setting up and Managing Team Members.


How to set up a Producer user

There is no restriction on the number of user assigned to your account or event.

To set up Producers user:

  1. From the Dashboard, click Team Members on the left menu

  2. Click Invite a Team Member

  3. Enter a valid email for the new Team Member in the Email field. This will be their username for accessing the account. Should you wish to set up multiple users with the same role, click Add another email address

  4. In the Role field, select Producer

  5. In the Event Name field, select the event/s that you would like the user to have access to

  6. In the Report Name field, select the Report/s you would like the user to have access to
    If you select the Custom Report, you will have the option to provide Read Only Access to help restrict data accessed

  7. Enable permissions to the Scanning and/or Box Office Apps, and Hidden Tickets if you would like this user to have access.

  8. Click Invite

The added Team Member will be set a an activation email to accept the invite. They will not be able to access the account until they have accepted the invite.

Haven't received the activation email? You can resend using the Resend Invite link to the right of the user. Don't forget to check Junk and Spam folders!

If they are a new user to TryBooking i.e. their email is not already registered as a Team Member on a TryBooking account, they will be prompted to sign up by entering their name and setting a password.


If they are an existing user i.e. their email is already registered as a Team Member an TryBooking account, they will be prompted to accept or decline the invite when they next log in to their account.


Read Only Access to Custom Reports

The Custom Report gives users the freedom to build their own report, selecting from ALL fields. You may not feel comfortable providing Producers with this access, especially if you want to keep financial or customer data private.

You can provide them with Read Only Access of this Report. Doing so will provide them with access to Custom Reports that you have created for the event. It will not allow them to Edit the report to changes.

To provide Read Only Access to the Custom Report:

  1. During set up of the invite or via Edit next to the existing Producer user

  2. With the Custom Report selected in the Report Name field, enable the toggle for Custom Report Read Only Access

  3. Click Invite or Save and Close

When the user logs in and accesses the Custom Report, they will now see any Custom Reports create for that particular event:

They will be able to use the Download action item to download and view the report.

Note that they will not have access to:

  • Creating a New Report

  • Editing existing reports

  • Deleting existing reports


How to log in as a Producer user

Once the user has activated their username, they will be able to log in with their email and password set, just like a regular user. You can provide these users with the below steps.

To log in as a Producer user:

  1. From the TryBooking website, click Log In on the top right menu bar

  2. Enter in your email address and click Continue

  3. Enter in your Password and click Log In

On successful login, the user will be directed to the Dashboard allowing them to select and run the reports available to them.

If they have been given access to Hidden Tickets, they will be able to access these via Make A Booking on the side menu:
