Create a Custom Report (Export Data)

The Custom Report gives you the freedom to build your own report, customizing the data you wish to report on. Choose from our standard data fields and custom fields that you set up via Custom Forms.

It saves down the report you create, making it easier and faster to generate the same report throughout your sales period and across events.

This report will download the data into an CSV file, making it ideal for your customising to your needs and uploading it into 3rd party systems.


How to Create a Custom Report

To create a Custom Report:

  1. From the left side menu, click Reports

  2. Under Event Reports, select Custom Report (Export Data)

  3. Click Create New Report

  4. Complete all the fields

    • Report Name: This is what your report will be saved down as within the TryBooking portal. Recommend you enter something that identifies the data you are accessing

    • Event Name: Select the event/s you wish to report on

    • Session Times: Select All or a particular session time on the event you wish to report on

    • Booking Date Range: Select All to include All bookings made on the event, or choose an option produce bookings only taken with that range. Custom will allow you to pick a specific date range

  5. Under Available Columns, select the fields you wish to report on. You can either search for the specific field you are after, or you can select from the Field Groups drop-down menu to identify what fields are available to you.

    Once identified, click on the plus icon next to the field to have in included on the report

  6. With all required fields selected under the Include in Report column, click on Save and Download. A csv. file will be downloaded to your device

With your new Custom Report saved down, you will find it added to the table on the Custom Report landing page:

Generate an existing Custom Report

Custom reports created are saved and displayed on the Custom Reports landing page, allowing you to download this report when needed without needing to reselect required fields and criteria.

To generate an existing Custom Report:

  1. From the left side menu, click Reports

  2. Under Event Reports, select Custom Report (Export Data)

  3. Next to the report that you wish to generate, under the Action column, click Download. A csv. file will be downloaded to your device

If the report generated does not contain the date you are expecting it to, consider either creating a New Custom Report or editing the existing.


How to edit a Custom Report

Perhaps the report you have generated doesn't contain the data you're expecting, or maybe you want to run the same report but for a different event. You will be able to edit the existing custom reports on your account to adjust the fields selected, add new field or remove existing fields.

To edit an existing Custom Report:

  1. From the left side menu, click Reports

  2. Under Event Reports, select Custom Report (Export Data)

  3. Next to the report that you wish to edit, under the Action column, click Edit

  4. From here you will be able to Edit the criteria entered, as well as add or remove fields.

    Use the plus and minus symbols to add or remove the fields as needed.

  5. With the desired edits made, click Save and Download

If the report is not one that you created, and your account has multiple users, consider creating a new report for your use to avoid causing unexpected results for other users.


How to delete a Custom Report

If you have reports that you no longer need you are able to remove them from the Custom Reports landing page.

To delete a Custom Report:

  1. From the left side menu, click Reports

  2. Under Event Reports, select Custom Report (Export Data)

  3. Next to the report that you wish to remove, under the Action column, click Delete

  4. You will be presented with the pop-up to confirm your action, click Delete

Once a report is deleted it will be deleted for all users on the account. The delete action is final, it can not be restored
