TryBooking offers 3 types of user roles, each providing a different level of access to your account/events. These user roles allow you to provide access to those within your organisation access to your event data without compromising the security of your funds and your patrons' privacy.
This article covers the three levels of access:
Account Owner
Account Owner is the main login to the account. Set up upon creation of the account, it provides access to all areas and functions.
Some areas that only those with Account Owner edit or view are:
- Account Settings
- Banking, both Bank account and Transfer Funds
- Refunds
- Edit a booking
- Team Members
- API Key Management
- Xero Integration setup
If you are sharing login for Account Owner access with other users in your team, you can protect your financial details by locking your bank account.
Basic Access User
Basic Access User logins are a great way to provide access to the account and reports to other members of your organisation. It has restricted access to the more sensitive areas of the account, keeping funds and data safe from unintentional changes.
A Basic Access User will log in with their own unique email and password, providing them access to:
- Creating and editing events
- All reports
- Templates
- Move a Booking
- Find a Booking
- Make a Booking; including accessing hidden tickets
Basic Access Users will not have access to, or can view but not edit:
- Account Settings
- Banking, both Bank account and Transfer Funds
- Refunds
- Edit a booking
- Team Members
- API Key Management
- Xero Integration setup
Those with Account Owner access can set up a Basic Access User by:
- From the left menu, click Dashboard
- From the left menu, click Team members and then Basic access users
- Click Add
- Fill in the required fields, making sure the email address you supply for Username is not already linked to another TryBooking account
- Click Save
Your new user will be added to the Basic Access User List. After sharing their username and password with them, they will be able to login to TryBooking from the main login screen.
We do not recommend providing Basic Access User to people external to your organisation who may be only interested in one event. Please consider Producers access instead.
Producers Access
Producers Access restricts the user to the read-only reports on a particular event. It is a great way to provide those who are involved with the running of the event, but not directly involved with managing the ticket sales, access to booking data.
Those with Producers Access will be able to log in using the event ID and a unique password, to generate reports at their own leisure. What reports they have access to is determined by the event organiser who set up the access.
To set up producer access:
- From the left menu, click Dashboard
- Under Manage events overview, click your event
- From the left menu, click Producer access, under Other
- Set a password in the Password field
- Use the checkboxes to select which reports will be available to those with Producers Access. For a list of what each report does, click here
- Click Save
- Send this ID number and password to your producers
If you have re-used an existing event by adding in a new session time rather then Cloning, consider disabling producers access or updating the password. This will ensure that the new session data can't be accessed by those that had previously been given producer access.
To log in with Producer access:
- Go to www.trybooking.com
- Click Login
- Enter the Event ID into the Email/Producer ID field and the password into the Password field
- Click Login
