Producer Access

Producer Access provides restricted access to a singular event.

Perfect for 3rd parties that you want to keep updated with sales on the event or may be helping out on the door, but don't want to provide them access to editing the event or bookings.


Producer Access permissions

Producer Access will allow users to log in with the following permissions:

Producer Access will not provide the user with the permissions to edit events, or manage customers bookings. For other user roles that are available, should these permissions be needed, please see: Setting up and Managing Team Members.


How to set up Producers Access

Each event can have only 1 Producers Access set. However, you can have multiple people logged in with this one access at any point in time. This is true of both the web Portal and the Scanning App.

To set up Producers Access:

  1. From the Dashboard, under the Manage Event Overview, click on the name of event you wish to set up Producers Access for

  2. On the left menu, under the heading Other, select Producers Access

  3. Enter a password

  4. Select which reports you would like them to have access to, and/or access to the Scanning app and Hidden Tickets if required

  5. Click Save

You will then be able to provide those users with the Producer ID and Password for logging in.


View Only Access to Custom Reports

Because the Custom Report gives users the freedom to build their own report, selecting from ALL fields, you may not feel comfortable providing Producers with this access. Especially if you want to keep financial or customer data private.

You can provide them with View Only Access of this Report. Doing so will provide them with access to Custom Reports that you have created for the event. It will not allow them to Edit the report to changes.

To provide View Only Access to the Custom Report:

  1. On the left menu, under the heading Other, select Producers Access

  2. Enter a password

  3. Select under Reports, select Custom report (Export Data) and View Only Access

  4. Select any further reports or permissions you wish to give the user access to

  5. Click Save

When the user logs in and accesses the Custom Report, they will now see any Custom Reports create for that particular event:

They will be able to use the Download action item to download and view the report.

Note that they will not have access to:

  • Creating a New Report

  • Editing existing reports

  • Deleting existing reports


How to Log In with Producers Access

Those with Producers Access will log in using the Producer ID and Password you have set under Producer Access.

Provide these to the user along with the following steps

To log in with Producers Access:

  1. From the TryBooking website, click Log In on the top right menu bar

  2. Enter in Producer ID and Password provided

  3. Click Login

On successful login, the user will be directed to the Dashboard allowing them to select and run the reports available to them.

If they have been given access to Hidden Tickets, they will be able to access these via Make A Booking on the side menu:
