Accessing Reports

Reports allow you to track sales, revenue, marketing and account information, all in real time from your dashboard.

Viewing and downloading reports

To view a report:

  1. From the left menu, click Reports

  2. Select the report you'd like to view
    Reports are grouped into the following categories:

    • Commonly Used

    • My Favorites

    • Event Reports

    • Account Reports

    • Marketing Report

    • Fundraising Reports

    • Other Reports

    You can move between categories, by selecting the category name on the top menu:

  3. If prompted, select the event name and session time you'd like to report on from the drop-down list
    Some reports will have a tick box that says All bookings. Unticking this box will allow you to select a booking date range to report on

  4. Click Generate report

Downloading reports

When a report is generated, it loads a preview of your data and the report toolbar.

To download the report:

  1. If the report has a Download button, click on it and select the file type (PDF or CSV)

  2. If the report does not have the Download button, you will be able to use the toolbar.
    From the file type drop-down menu, select your preferred file type. Most spreadsheet programs, like Excel and Sheets, will open a CSV. Alternatively, you can download the report as a PDF.

  3. Click the save button

Sharing reports

If you have someone who needs to access reports regularly, or at a time when you won't be available, consider setting them up with producers access. This grants them access to only the reports you select and does not give them access to the rest of your account.


How to favourite reports

Adding reports to your My Favourites tab allows you to access reports that you use on a regular basis without having to search for it.

The My Favourites tab is save to the user level, rather than shared across users on an account. This allows you to have a list that is unique to your individual needs.

To add a report to My Favourites:

  1. From the left menu, click Reports

  2. Navigate to the report you wish to access

  3. Use the Add to favourites toggle or tick box to enable

With 'add to favourites' enabled on the report, it will be automatically visible under My Favourites:

To remove a report from My Favourites:

  1. From the left menu, click Reports

  2. Select My Favourites from the top reports menu

  3. Click on the report you with to remove

  4. Use the Add to favourites toggle or tick box unselect this option

Privacy and obfuscation

If a patrons email has not been used in connection to a payment across TryBooking for 4+ years, their personal data will be removed from the system.

Whilst their booking and the finical data will still be present, this will see the Book By Name displayed as "Customer Data Removed", and any data entered on checkout or via Custom Forms removed.
