Setting up Volunteers for scanning

Provide access to volunteers and door staff without providing access to your account

Running an event often means you need to call upon volunteers and staff to assist you with scanning, especially at peak times. You will be able to provide these volunteers and staff with temporary access to the Scanning App via Volunteer Access.

Volunteer Access allows users to log in to the app via a QR Code to access events that you specify. This code will expire 10 days after it is generated to help protect your customers' data.


Volunteers Access Permissions

Volunteers Access will allow users to:

  • Scan Tickets to Check-In and Check-Out

  • Look up bookings by name and manually Check-In and Check-Out tickets

  • Select Rules that have been created

  • View how many tickets have been Check-In in total

Volunteer Access will not have access to:

  • Views of financial data

  • Create, edit or delete rules

  • Check-Out all tickets

  • Manage Scanners

  • log in to Portal to edit and report on events


Generate the Volunteer QR Code for Access

To generate Volunteer QR Code:

  1. On the navigation menu bar, select Settings

  2. In the Settings menu, select Manage Scanners

  3. Tap Add Scanners

  4. The QR Code will be present on screen, confirming what event/s and rules it will provide users with access to

Consider taking a screenshot of the QR Code and have it printed out for volunteers. This will allow them to log in easily once more, should they get logged out, and not have someone at entry that is logged in as an official Team Member.


How to log in as a Volunteer

How to log in with the Volunteer QR Code:

  1. The volunteer will need to download the TryBooking Scanning App from App Store or Google Play store

  2. Open the TryBooking Scanning App, and tap Volunteer Log In

  3. Scan the Volunteer QR Code that has been provided (see above)

  4. Enter your name (Mandatory) and Location (Optional), then tap Login

  5. The user will be directed to the Dashboard.
    Navigate to the Scan screen to begin scanning tickets

  6. If rules are required, be sure to select the rule to have it applied. See: Apply Rules to Your Device for Scanning
