Scanning for events with multi-day access

The scanning app's is the main functionality is to pick-up duplicate tickets presented on entry. So, what do you if you're offering a ticket that allows the attendee entry across multiple days?

This guide will walk you through the additional steps needed in the scanning app to allow for the attendee's ticket to be accepted on the consecutive days.

Step 1: Use Rules

Rules are required to ensure that only the tickets that are valid for that day/Session are accepted.

In this example, the event is a 3 day event, that offers a 3 Day ticket and Individual Day ticket. This requires 3 rules to be set up - 1 for each day.

To set up your rules:

  1. On the navigation menu bar, select Settings

  2. In the Settings menu, select Scanning Rules

  3. Tap Create a Rule

  4. Select Custom

  5. Your event/s that you selected on log in will be selected by default. Tap Next

  6. If you are using Session Times to separate your individual day tickets and your multi-day tickets, tap on Sessions and select your multi-day session time and day 1 session time.
    If you are using Ticket Types, to separate your individual day tickets and your multi-day tickets, tap on Tickets

  7. With your required selection made, tap Create Rule

  8. Give your rule a name and description(optional), tap Create

  9. With your rule created, it will now be listed and available for selection. Repeat until you have a rule for each day of scanning, ensuring your Multi-day pass is selected for all rules.

  10. With your rules set up, it is just a matter of ensuring you select the right rule for the day/session when ready to scan. See: Apply set rules to your device

Step 2: Check-Out Multi-day Tickets ahead of the next day/session

To allow the muti-day ticket to be scanned in successfully on the next day/session, it needs to be checked-out. If it is not checked-out, the default rule of No duplicates will cause it to receive the error of 'Invalid Ticket Already Scanned' when scanned on entry.

Check-Out Tickets needs to be actioned at the end of each day/session, or at the start of each day/session, prior to commencing scanning.

It does not need to be performed on each device. However, each device needs have internet connection for the change in ticket status (i.e. Checked-In to Checked-Out) to be updated across all devices.

To check-out all multi-day tickets:

  1. On the navigation menu bar, select Settings

  2. Select Check-Out Tickets

  3. By default, the events selected for scanning will be selected

  4. Tap Ticket Types

  5. Select the ticket type/s you wish to Check-Out, and then tap Check Out Tickets

If you accidently Check-Out all tickets, don't worry! The rules that you have set in Step 1 above will prevent you from accepting the individual day tickets that where scanned in on the previous day/session.
