In line with your local government's mandate, you may be required to only permit those that have a have proof of being fully vaccinated at your event.
The following article with provide you with some recommended steps to allow your customer to acknowledge the requirement and only continue with booking should they confirm that they will be fully vaccinated by the event date.
Due to the sensitive nature of storing medical data, you won't have the ability to allow your customers to upload their vaccination certificate at the time of booking. Providing proof of vaccination will need to be handled at the entry to your event at the same time as they Check-In via your states Contact Tracing QR code.
If you are scanning your attendees in using the Mobile Scanning App, you may have the same volunteer/staff member requesting to view their vaccination certificate at the same time presenting their tickets.
Get the customer to acknowledge they must be fully vaccinated at time of booking
You will be able to use the Data Collection feature to get your customer to confirm their vaccination status and acknowledge requirement before they complete their booking. They won't be able to complete the booking unless they agree that they are/will be fully vaccinated at the event.
This will ensure that your customers are aware prior to arriving at your event, avoiding staff/volunteers on event day having to have these conversations with attendees.
To set up this field:
- From the left menu, click Dashboard
- In the Manage events overview, select your event
- From the left menu, go to Data collection, under Additional information
- Under Once per Booking, select Yes to Collect Information
- Click Add Field
- Complete the fields as below:
- Label: Vaccination Confirmation
- Mandatory: Yes
- Field type: List of Values
- Value: Enter text to the effect of 'Yes all attendees in this booking over 12yrs are fully vaccinated', then click Add
- Click Save and Closed
- Click on the field label Vaccination Confirmation
- Select the tab Header, and enter text that explains the vaccination status regulation for your event. Our recommended text is: As a condition of entry to this event all attendees aged 12 and above are required to be fully vaccinated. By selecting 'Yes' to the Vaccination Confirmation field below you are confirming that the ticket holder and any person attending is currently or will be fully vaccinated by the event date.
No refunds will be issued for those that have purchased tickets but fail to provide legitimate proof of vaccination upon entry. - Click Save
Add Vaccination Requirements to your Terms & Conditions
As well as getting them to acknowledge the vaccination requirement during the booking process, adding it to the terms and conditions is also beneficial, as it will display the requirement below each ticket that is issued.
To add to your Terms and Conditions:
- From the left menu, click Dashboard
- In the Manage events overview, click on the name of your event
- From the left menu, click Terms and conditions under Additional Information
- In the text field enter your terms and conditions for the event
- Click Save
